PREMIULUX TRAVEL MANAGEMENT
At Premiulux, we are committed to delivering dependable, professional travel management services tailored to the needs of businesses and individuals. These Terms & Conditions are designed to ensure a clear understanding between both parties and a seamless experience throughout our service delivery.
1. Scope of Services
Premiulux provides end-to-end travel management solutions. This includes, but is not limited to, corporate travel arrangements, flights (including charter services), ground transport, accommodation bookings, incentive travel, holiday planning, event and destination management. All bookings made through Premiulux are facilitated with trusted third-party service providers, whose own terms and conditions may also apply alongside ours.
2. Booking Process
Clients may initiate bookings through email, official request forms, or authorized communication platforms. Once we receive your service request, Premiulux will issue a formal quotation. Your written acceptance of the quotation—along with full payment or a valid purchase order (for qualifying corporate clients)—serves as confirmation. Travel itineraries and booking confirmations will follow thereafter.
3. Payments and Invoicing
Full payment is generally required prior to confirming any travel arrangements unless otherwise agreed upon in writing. For corporate clients who operate through procurement processes, valid purchase orders are accepted as proof of commitment. All payments are securely processed, and detailed invoices will be issued containing verified banking details and service references.
4. Amendments and Adjustments
We understand that travel plans may change. Should you require adjustments—such as rescheduling, changes to traveler names, or service upgrades—please notify us as early as possible. Amendments are subject to supplier availability and may incur additional charges. Premiulux will inform you of any applicable fees and secure your consent before proceeding.
5. Cancellations and Refund Policy
All cancellation requests must be submitted in writing. Refund eligibility depends on the specific policies of the third-party service providers involved. Many bookings, particularly flights and accommodations, are either non-refundable or subject to strict penalties. Once we receive refunds from service providers, we will process the reimbursement to you, minus any non-refundable service charges. Please note that Premiulux’s consultation and facilitation fees may not be refundable.
6. Liability and Responsibility
Premiulux acts as a facilitator between the client and third-party suppliers such as airlines, hotels, and transport companies. While we strive to ensure reliable service delivery and offer full client support, we cannot accept liability for any loss, delay, injury, damage, or service failure arising from the acts or omissions of external service providers or from circumstances beyond our control. We will, however, provide all necessary assistance to help resolve any disruptions.
7. Travel Documentation and Compliance
It is the client’s responsibility to ensure they possess all necessary documentation prior to travel. This includes, but is not limited to, valid passports, visas, permits, vaccinations, and health clearances required by the destination. While Premiulux may offer guidance on these matters, ultimate responsibility rests with the traveler. We recommend early preparation to avoid travel disruptions.
8. Special Requests and Accessibility Needs
If you have specific preferences or needs—such as mobility support, dietary requirements, or preferred hotel features—please inform us at the time of booking. While we make every effort to accommodate these requests, they are subject to availability and the policies of third-party suppliers. Providing early notice improves the likelihood of successful arrangements.
9. Emergency Support
Premiulux offers dedicated support in the event of an emergency or unforeseen travel issue. Clients can contact our after-hours emergency line or use our designated communication platforms for immediate assistance. Our team will act promptly to liaise with service providers and help manage the situation, aiming to minimize disruptions.
10. Confidentiality and Data Privacy
Premiulux upholds strict data protection standards in line with the Protection of Personal Information Act (POPIA) and other applicable regulations. All client data is stored securely and used solely for service-related purposes. We do not share your personal or corporate information with third parties, except where necessary for service delivery or as required by law.
11. Service Fees
Premiulux may apply service fees for travel coordination, consultation, and administrative support. These fees reflect the time, effort, and expertise required to manage bookings and deliver tailored solutions. All service fees will be communicated transparently during the quotation phase and reflected in the final invoice. Service fees are generally non-refundable, even in cases of cancellation.
12. Third-Party Suppliers
We work closely with a trusted network of third-party providers—such as airlines, accommodation facilities, transport operators, and event venues—to deliver a complete travel management experience. Premiulux does not directly control these providers and therefore cannot guarantee performance or service quality beyond our influence. Clients are subject to the terms and conditions of these providers, including their cancellation, amendment, and refund policies.
13. Force Majeure
Premiulux shall not be held liable for any delay or failure in service delivery caused by force majeure events. These may include, but are not limited to, natural disasters, pandemics, civil unrest, strikes, acts of government, or any unforeseen events beyond our control. In such cases, we will communicate transparently with clients and make reasonable efforts to reschedule or rearrange bookings, subject to availability and supplier flexibility.
14. Dispute Resolution
Should a dispute arise, Premiulux encourages open and timely communication to resolve the matter amicably. If resolution cannot be reached internally, the issue may be referred to an independent mediator or handled through legal channels as governed by the laws of the Republic of South Africa. We strive to resolve all client concerns respectfully and efficiently.
15. Revisions to Terms
Premiulux may update these Terms & Conditions as our services and policies evolve. Any significant changes will be communicated to clients with active bookings or ongoing engagements. Continued use of our services constitutes acceptance of the revised terms.
16. Client Agreement
By confirming a booking or entering into a service agreement with Premiulux, you confirm that you have read, understood, and accepted these Terms & Conditions. Should you have any questions, our team will be happy to assist before you proceed with any booking or payment.
